Tour-to-Admission Conversion: Tracking the Steps Between

Inquiries become admissions through a series of handoffs. Mapping each step with simple data shows where families drop off and how to follow up better.

An inquiry rarely becomes an admission in one step. A family calls, a tour is scheduled, someone takes the tour, a financial conversation follows, paperwork is completed, and eventually a move-in date is set. At each of these points, some families continue and some do not. Knowing where they drop off is more useful than knowing the final number.

Many buildings track admissions and perhaps inquiries, but not the steps between. That leaves marketing and admissions teams guessing about where to put their energy.

Map the funnel

Write down the steps as they actually happen in your building. A typical sequence might include:

  1. Initial inquiry (phone, web form, referral, walk-in)
  2. First response and conversation
  3. Tour or visit scheduled
  4. Tour completed
  5. Application or financial conversation
  6. Clinical assessment or pre-admission review
  7. Decision and move-in date
  8. Admission

Your list might differ, particularly across skilled nursing, assisted living and memory care. What matters is that each step is recorded with a date and a status.

Metrics for each step

  • Volume entering the step.
  • Conversion to the next step.
  • Time spent at the step.
  • Reasons for drop-off, when known.

Time is often the overlooked one. A family that waits several days between a tour and a follow-up call may have moved on, particularly if they are making a decision under pressure.

Find where the leaks are

Picture a hypothetical community in which most inquiries convert to scheduled tours, but a large share of scheduled tours never occur. That points to a scheduling and reminder problem, which is relatively simple to fix. Compare that with a community where tours happen but few families proceed to an application. That suggests the conversation after the tour, pricing clarity, or fit questions deserve a closer look.

The same total admissions number could hide either story.

Segment to learn more

Break the funnel down by:

  • Source: referrals from hospitals, online searches, word of mouth, physician offices.
  • Care type: short-stay rehabilitation, long-term care, assisted living, memory care.
  • Responder: which team member handled the inquiry, used constructively and not as a ranking.
  • Time of inquiry: weekday, evening, weekend.

Often the sources that produce the most inquiries are not the ones that produce the most admissions. Seeing this helps you decide where relationship-building time is best spent.

Pay attention to follow-up

Consistent follow-up is one of the more controllable parts of the process. Useful measures include:

  • Time from tour to first follow-up contact.
  • Number of follow-up attempts before an inquiry is marked inactive.
  • Share of inquiries with no recorded next step.

A weekly list of open inquiries with no scheduled next action is simple to produce and valuable to review.

Respect families' timelines

Data should support compassion, not pressure. Families touring a senior living community or skilled nursing facility are often under stress. The goal of a funnel review is to make sure no family is left waiting for a call that was supposed to happen, and that every question gets a prompt, kind answer.

Build a weekly rhythm

A short weekly review with admissions, marketing, nursing and business office leaders keeps everyone aligned. Review new inquiries, tours scheduled and completed, pending applications and expected move-ins. Look at the oldest open items and decide who will follow up.

Once a month, step back and look at conversion by step and by source. Choose one improvement to try, such as a reminder text before tours, and measure whether it changes the numbers.

Keep it simple at first

Even a spreadsheet with consistent dates and statuses is a good start. The challenge is keeping it current, which is why connecting phone, email and CRM or EHR data automatically makes a difference.
