Authorization tracking is not only a business office task. It involves admissions, who often secure the initial approval, nursing and therapy, who provide clinical updates, social services, who coordinate discharge planning, and billing, who need accurate dates. A shared dashboard makes those handoffs visible.
Helpful practices include:
- A short weekly authorization huddle to review upcoming expirations and pending requests.
- Clear ownership for each resident's authorization, with a backup for time off.
- Standard documentation for what is sent to each plan, to reduce back-and-forth.
- Escalation steps when a request is delayed, so it does not sit.
Keep the resident in view
Behind every authorization is a person whose care and discharge plan matter more than the paperwork. Good tracking reduces stress for families and staff, because it avoids last-minute surprises about coverage. Communicate clearly with residents and families about coverage changes, and involve social services early.
